In the rare case we share information with a trusted service provider (e.g. payment processors, mailing houses, or IT providers), it will only be under strict confidentiality agreements and for the purposes outlined in this policy. We handle all personal information in accordance with the Privacy Act 2020 and take all reasonable steps to ensure it is secure.

• Improve your online and offline experience with ChildFund NZ

• Meet legal, audit, or reporting obligations

• Carry out data analysis (anonymised where possible)

• Any other purpose you have agreed to

If you don’t provide certain information, we may not be able to process your donation, issue a tax receipt, or deliver some services.

How we collect your information

Most information is collected directly from you. Occasionally, we may receive information from trusted third parties (e.g. fundraising platforms or event organisers). If so, we will take reasonable steps to notify you.

How we store and protect your information

We store your personal information in secure databases in New Zealand (and occasionally with trusted providers overseas). Our systems are protected by encryption, firewalls, and strict access controls.

If data is stored or accessed outside New Zealand (e.g. through our global technology providers), we ensure this is done under robust privacy agreements.

By providing your information, you consent to this transfer, understanding that overseas recipients may not always be subject to the same legal protections as in New Zealand.

We retain personal information only as long as necessary for the purposes outlined here or as required by law. Once no longer needed, data is securely deleted or anonymised.

We do not sell, rent or swap your information. We may share data with people acting on our behalf such as:

• Direct mail (e.g. NZ Post), email, or telefundraising providers

• Analytics and survey platforms All third-party partners must comply with our privacy and security standards, and only by secure transfer methods/platforms. We only share information with Government agencies, if legally required.

• Ask for your data to be deleted (unless we are required by law to retain it)

How we communicate with you We use your information to send you communications relevant to your relationship with us, including but not limited to:

Every email or text message includes an unsubscribe link and manage preference link. You can also contact us at any time to update your preferences or opt out of specific types of communication including unsubscribing. Even if you unsubscribe, we’ll still send you essential administrative communications like donation confirmations or tax receipts.

Cookies, analytics, and online advertising

We use cookies and tracking tools (e.g. Google Analytics, Meta Pixel) to:

• Improve our website performance

• Understand how visitors engage with our site

• Deliver more relevant advertising across the internet

• These services collect non-personal, anonymous information such as pages visited, time spent on site, and general location data. You can disable cookies in your browser settings.

Using supporter data to improve our advertising

We may also use limited personal information that you’ve shared with us (such as your email address or phone number) to create secure, anonymised lists for digital advertising purposes. These lists may be used to:

• Show you relevant ChildFund NZ ads on platforms like Facebook or Google

• Exclude you from certain campaigns (e.g. if you're already a donor or supporter)

• Create “lookalike” audiences of people just like you who may be interested in our work Your data is encrypted (hashed) before being matched, and platforms do not receive access to your full personal details. This process does not involve selling or sharing your information in a way that allows others to identify you.

Links to other websites

Our website may link to third-party sites. We are not responsible for the privacy practices of those websites and encourage you to read their privacy policies.

Anonymity and confidentiality

Where lawful and practical, you may choose to remain anonymous or use a pseudonym when interacting with us. For example, you can make a cash donation anonymously. However, some services (e.g. issuing tax receipts) require us to collect your personal information.

We also respect donor confidentiality requests. If you prefer your support to remain private, just let us know. Security and payment card protection We follow the industry’s best practice (including PCI DSS standards) to ensure your payment details are handled securely. Online donations are processed via encrypted gateways, and cardholder data is never stored on our website.

Privacy breaches

If a privacy breach occurs that is likely to cause serious harm, we will promptly notify both the affected individuals and the Office of the Privacy Commissioner, as required by law.

Policy updates

This policy is reviewed regularly. Any updates will be posted on our website with the effective date clearly noted.
